Friends of Culvers House Meeting 12/07/24

Summer fair

·        Wristbands went well. There was feedback that a parent did not know you could PAYG. This feedback was received before the meeting and flyers and social media posts were reviewed and there was PAYG advertised however this will need to be looked at for the next fair to ensure this is clear. Beth mentioned she explained to parents on the day of the fair how the wristband system worked and PAYG was accepted.

·        Games – no money was spent on games as we reused and repurposed items we had. The aim for the Christmas fair will be the same.

·        Bottle tombola ran well however the profit was half of of last fair. There were around 60-70 bottles donated which was well below last fair, there are bottle left over. Teacher feedback suggested that as it was not a non-uniform day, parents may have forgot. Feedback from staff running the stall was the bottle top system was easier to manage then the raffle ticket system. Lucia suggested we have a different tombola for the Christmas fair as well as the chocolate tombola. Suggested idea was rainbow tombola eg Yr6 – red, Yr5 – green etc. A poster for suggested items can made.

·        Non-uniform day – need to consider spreading these out as they ran very close together. Also need to discuss 3 instead of 2 (see point above for teacher feedback).

·        Kitchen - Lucia has asked Hazel whether she would run the kitchen for the Christmas fair. Discussions will be on going. Lucia is not keen to outsource food as we have no guarantees when profit sharing. The inflatables have said we are to get £20 which has not been transferred yet. Food/drink was £250 profit.

·        Craft – it was agreed we should keep a craft stand however the outgoing was higher than profit. For the next fair we need to use items left over from the summer fair and previous fairs.

·        Lucia’s aim is to raise £4000 profit for next fair. She presented ideas from other schools like external sponsorship (they pay to sponsor an event and their logo is on the flyers) or have a stall at the fair where they advertise. It was suggested to think about these being not only for adult but also child focused.

·        Raffle – Angela had managed to get many donations and we had over 40 prizes. Lucia mentioned we should review our prizes before the PTA spend money on additional prizes. This was agreed as a good idea.

Felicity asked about going online for the raffle. The cost involved would need to be looked into and also discussed with Miss Garvey.

·        Thank you cards – a proof was shown to members and agreed. Local ones will be delivered by hand and some will need to be posted. 250 will be ordered and they are worded to ensure they can be used for multiple fairs.

Actions from last meeting

·        Christmas fair date – 7th Dec

·        New parent’s coffee morning 13th Sept as this all parents will be the first Friday all reception kids attend school, along with selling uniforms. 2 leaflets were shown to the PTA members that will be attached to the parent kind magazine. Feedback was noted to make some change to the leaflets.

 

AOB

·        AGM will be held on the 13th Sept directly after the new parent’s coffee morning. The position of secretary is vacant. Beth suggested some smaller roles to be created to spread some of the workload.

·        Uniform sale – 13th Sept after school in community room.

·        Banner for the school fence to be ordered as a company is doing them for free for charities. Proof shown to PTA. Self-adhesive pouches can be attached so we can interchange the event advertised. This will be placed on the fence which faces the park at the school office end.

·        School disco – 7th Nov. DJ is booked. Lucia asked Miss Garvey whether we could sell glow in the dark bracelet which was agreed. These will be sold at the time of the ticket sale (will be on the disco letter that is sent home as an extra). £1 was considered too much and 50p seemed more suitable.

·        Internal raffle – we had an additional facial donated and a prize returned and the names of non-staff were drawn. Jade won the facial and Paula the My Gym voucher. A facial was also used as a prize for a staff member. Emily Dicey won this.

·        Evening out – The Ginger Italian was discussed and agreed it would not be ideal as it is a set menu of £40 and a music night which would not facilitate chat. Felicity (via whats app) offered to have it at Lucia and ger house. This was agreed. Everyone will pay for their own take-away and bring their own drinks.

·        Additional fundraising – there is an app called ‘easy fundraising’ where you can nominate Culvers House as the recipient. The app has all kinds of your everyday shopping like supermarket, clothes and shoe stores etc. Lucia will look how we advertise this.

Actions

·        Website needs to be updated which has not been recently due to no secretary.

·        Instagram account – Lucia needs to find out the password and will check dropbox.
